Client: A Major Federal Civilian Agency Overseeing Food and Nutrition Programs.
Overview:
Centennial partnered with the agency to modernize enterprise asset management by migrating from BMC Remedy to ServiceNow and operationalizing ITIL-aligned workflows, a clean CMDB, and end-to-end lifecycle controls. The program emphasized standards-based design using ITIL 4, ISO 55000 for asset management, and ISO/IEC 19770-1 for software asset management. Data modeling followed the ServiceNow Common Service Data Model (CSDM), and security practices aligned to FedRAMP and NIST SP 800-53. Delivery used Agile and DevSecOps with automated testing and CI/CD to move from pilot to production while minimizing business disruption.
Challenges:
The agency’s asset data and processes were fragmented across Remedy, regional spreadsheets, and ad hoc workflows, producing duplicate and stale records, low inventory accuracy, and limited traceability from request to retirement. A non-normalized CMDB without CSDM alignment hindered service mapping, cost allocation, and incident or change impact analysis. Software entitlement and usage were reconciled inconsistently, increasing over-deployment risk and reducing reclamation savings. Manual receiving, tagging, and stock moves extended lead times and obscured custody. Legacy Remedy customizations and point-to-point integrations made upgrades brittle and expensive, while uneven adoption and limited reporting eroded confidence in KPIs and audit readiness.

Solution:
Centennial anchored the solution to ITIL 4 practices, ISO 55000 and ISO/IEC 19770-1, and the ServiceNow CSDM. We enforced NIST SP 800-53 and FedRAMP Moderate controls and used an Agile and DevSecOps approach with ATF, Flow Designer, and IntegrationHub. We leveraged pre-built accelerators including CSDM starter kits, CMDB normalization rules, discovery patterns, HAM and SAM Pro policy packs, barcode and RFID playbooks, and cutover and runbook templates for Remedy migrations.
- Assessed the current state and mapped processes, data models, and controls to ITIL 4, ISO 55000, and CSDM while defining a target operating model for hardware and software lifecycle.
- Executed a structured Remedy to ServiceNow migration by profiling data, cleansing and de-duplicating records, mapping fields to CSDM, validating referential integrity, and running parallel reconciliation before cutover.
- Established ServiceNow Discovery and Service Graph Connectors and Integrated SCCM or Intune, Jamf, Tanium or BigFix, vCenter, AWS Config, Azure Resource Graph, and network SNMP to automate CI and asset ingestion.
- Implemented Hardware Asset Management Pro (HAM Pro) for request to retire with mobile receiving and barcode or RFID enablement.
- Implemented Software Asset Management Pro (SAM Pro) to normalize publishers and titles, reconcile entitlements, measure usage, reclaim underused licenses, and manage true-ups with automated remediation tasks.
- Aligned the CMDB to CSDM and Established reconciliation and normalization, CI class governance, and data quality scorecards with automated policy checks.
- Automated workflows with Flow Designer and IntegrationHub for purchase order ingestion, goods receipt, contract linkage, warranty capture, vendor RMA, and zero-touch provisioning where supported.
- Instituted change and control governance with CAB, pre-approved standard changes for routine asset moves, and impact analysis using CMDB relationships.
- Built operational dashboards for KPIs including inventory accuracy, data quality, license compliance, and lead times and executive scorecards for cost avoidance and audit readiness.
- Delivered training and adoption campaigns for requesters, approvers, receiving and stock teams, and auditors and Transitioned sustainment to an internal Center of Excellence with playbooks and role-based SOPs.
- Deployed DevSecOps pipelines with scoped apps, ATF regression packs, and instance cloning strategies to support safe upgrades and continuous improvement.

Results:
Within two release cycles, the agency established a single system of record for assets and software, tightened audit posture, and accelerated lifecycle throughput. Stakeholders gained real-time visibility from request to retirement, while automated discovery and reconciliations lifted CMDB completeness and data quality. License governance generated measurable cost avoidance and reduced compliance exposure, and mobile receiving shortened lead times from dock to desk.
- Increased CMDB completeness to 96% across priority classes and improved data quality scores by 40% to 55%.
- Reduced inventory discrepancies by 60% and cut annual ghost asset counts by more than 70%.
- Accelerated receiving to deploy cycle time by 35% with mobile workflows and standardized stock moves.
- Achieved 25% software cost avoidance through reclamation and true-up optimization.
- Lowered mean time to locate assets for audits by 60% and cleared prior audit findings related to custody and entitlement evidence.
- Improved incident or change impact accuracy and reduced change-related asset errors by 30% through CSDM-aligned relationships.
- Realized three to five times first-year return on investment from license savings, audit avoidance, and process efficiency gains.
Conclusion:
Centennial’s ServiceNow practice combined deep migration experience, CSDM and ITIL design authority, and FedRAMP-ready engineering to deliver a resilient and auditable asset management platform. In close partnership with agency finance, acquisition, security, and IT operations teams, we co-designed standards-based workflows, executed a controlled Remedy cutover with parallel runs, and transferred knowledge to an internal Center of Excellence for sustainable operations. The result is a single source of truth, faster lifecycle execution, stronger audit outcomes, and a modern platform the agency can extend to configuration, vulnerability, and broader ITAM and SAM optimization initiatives.
